Photography CRM Pricing: What to Compare Beyond the Sticker

Photography CRM pricing is more than a monthly fee. Compare seats, storage, payment fees and add-ons, with a cost table you can fill in.

To compare photography CRM pricing fairly, put the headline price next to four other costs: the number of seats you need, storage limits, fees on payments and add-ons you would have to buy. Then multiply by twelve months and by your real situation. The cheapest sticker is often not the cheapest tool.

Below is how to build a comparison you can trust. We do not quote competitors' prices here, because they change. Check each vendor's site for current plans.

Seats

A seat is a person who logs in. Pricing by seat is common, and it affects you more than you might think.

Questions to ask:

  • How many seats are included? Does the plan cover just you, or a small team?
  • Who needs a seat? You, an assistant, an editor, a second shooter, an accountant.
  • Do freelancers count? Some tools charge for anyone who logs in, even a person who works two days a month.
  • Can seats have limited access? A person who sees only their own jobs is worth less to you than a full user, and sometimes the pricing reflects that.
  • What is the cost of the next seat? Is it a flat add-on or a jump to a higher tier?
  • Can you swap seats as people come and go?

A solo photographer may need one seat. A studio with a manager, two shooters and an editor needs five. A plan that is cheap for one person can be expensive for five. Our post on CRM for studios and teams shows what changes as you grow.

ClickBook's trial gives 5 seats, with Pro priced at $29 a month billed yearly or $39 monthly (₹2,499 or ₹2,999 in India, GST included). Larger teams can ask for custom pricing.

Storage

Not every CRM stores your photos, but many store documents, contracts, images, attachments and logs.

Look at:

  • What counts as storage. Files only, or also emails and attachments?
  • Limits. A fixed amount, or unlimited?
  • What happens at the limit. Upgrade, pay per extra gigabyte or block uploads?
  • Whether galleries are included. Many CRMs do not host galleries. ClickBook, for example, is not a gallery host, so galleries stay in your own gallery tool such as Pixieset or Pic-Time. That means you pay for gallery storage separately, so count it in your total.
  • Retention. Is old data kept after you cancel?
  • Export. Can you download all your data, in a usable format?

If a tool includes gallery hosting, check the cap on images or size, and what extra storage costs. If it does not, price the gallery tool you would pair with it.

Payment fees

This is where costs can hide. Taking a deposit through a CRM usually involves two layers of fees.

  1. Your payment provider's fee (for example Stripe, Razorpay or PayPal). This is charged by them, whatever CRM you use.
  2. The CRM's own fee, which some charge as a percentage or per-transaction amount on top.

Questions:

  • Does the CRM take a cut of each payment?
  • Is there a monthly minimum?
  • Which payment providers are supported in your country?
  • Can you record bank transfers, cash or UPI by hand without a fee?
  • Are refunds charged?
  • Does the CRM hold money, or does it go straight to your account?

ClickBook lets studios connect their own Stripe, Razorpay or PayPal account, takes no cut and charges no transaction fees. Bank transfer, cash and UPI can be recorded by hand. Your payment provider still has its own charges.

Even a small percentage matters at scale, so work out the annual effect on your own revenue.

Add-on costs

Sticker prices rarely include everything. Look for extras:

  • Contracts and e-signature
  • Payment plans or instalments
  • Automations and email sequences
  • Custom domains and branding
  • Extra users
  • Priority support
  • Onboarding or migration help
  • Integrations with other tools
  • SMS or message credits
  • Reporting or finance features

If a feature you use daily is an add-on, count it. Equally, if you will never use a feature, do not pay for it. When you move from another tool, see how to migrate to a new photography CRM for what to check first.

Also ask about price changes. Is the price locked for a year? What happens when you renew?

Example cost table

Use this as a template. The tools and numbers below are made up, so replace them with real figures from each vendor's current pricing page.

Scenario: a studio with 3 seats, 20 weddings a year, average booking value 2,500, payments taken online.

Cost lineTool ATool BTool C
Monthly price302045
Seats included115
Extra seats, 2 at10 each8 eachincluded
Contracts and payment plansincludedadd-on 10included
Monthly total504645
Annual total600552540
Fee on payments (percentage of 50,000 annual)00.5%, so 2500
Yearly cost including fees600802540

The cheapest sticker (Tool B at 20) became the most expensive once seats, add-ons and payment fees were counted. These figures are for illustration only.

Steps to do your own:

  1. List your seats and annual payments.
  2. For each tool, note the monthly price, seat price, add-ons and payment fee.
  3. Calculate the annual total.
  4. Add the cost of a separate gallery tool, if relevant.
  5. Add setup time. Your hours have a value too.
  6. Compare what each tool replaces. If it removes a separate invoicing tool and a scheduling tool, count those savings.

For a wedding-focused look at features, see CRM for wedding photographers. If you are thinking about delegating admin, hiring a studio manager affects how many seats you need.

Pricing with no transaction fees

ClickBook offers a 3-day free trial of Pro with all features, 5 seats and no card needed. There is no free plan. See the pricing page for current details.

Do the table, include every cost and decide on the number that is true for your studio.

Frequently asked questions

What is the cheapest way to run a photography business CRM?

A spreadsheet is the lowest cash cost, but it costs time. Among tools, the cheapest on paper is not always cheapest once seats, payment fees and add-ons are counted.

Do CRM tools charge fees on payments?

Some add a fee on top of your payment provider's charge, and some do not. Check each vendor's pricing page and terms. ClickBook takes no cut and charges no transaction fees, though your own payment provider may charge theirs.

Is annual billing worth it?

It usually lowers the monthly price but commits you for a year. Trial first and switch to annual only when you are sure.

Should I pay for more seats than I need?

No. But check what happens when you add one. Some plans jump a tier, others add a small per-seat charge.
